CMMS maintenance KPIs for India manufacturing (MTBF, MTTR, PM compliance)

Once work orders are logged, which metrics matter first? This guide helps India plant and maintenance leaders start with MTBF, MTTR and PM compliance — and how timestamps feed them, with Upvantix CMMS.

By Upvantix team

Work orders logged in a CMMS are not the same as KPIs that drive maintenance decisions. India plants often digitize work-order creation but still argue from anecdote when timestamps and asset linkage are inconsistent — and MTBF or MTTR dashboards then mislead.

This guide helps India plant, ops and maintenance leaders pick a starter KPI set once work orders are logged — MTBF, MTTR and PM compliance — including how work-order timestamps and asset history feed those metrics. This guide covers plant and facility maintenance (CMMS). Field Service Management (FSM) is a separate Upvantix product for distributed field service.

Work orders logged ≠ KPIs that drive decisions

Logging work orders is the foundation, not the finish line. A KPI is only trustworthy when the underlying records are consistent: the same failure codes, the same timestamp habits, the same asset linkage across shifts and sites.

When those basics vary, MTBF and MTTR charts describe data-entry habits more than equipment behaviour. The goal is a small, honest starter set — not a dashboard full of numbers nobody defends.

  • Consistent timestamps on every work order
  • Every corrective work order linked to an asset
  • Decisions from records, not from anecdote

Which maintenance KPIs should India plants track first in CMMS once work orders are logged?

Start with three: MTBF (mean time between failures) for reliability between failures, MTTR (mean time to repair) for restoration duration, and PM compliance for whether scheduled preventive work is completed inside its window. Together with the planned-vs-reactive mix, they cover reliability, responsiveness and discipline.

Set baselines from your own history before comparing anything. There are no universal world-class targets that apply to every plant — your asset mix, operating context and data maturity define what good looks like.

  • MTBF — reliability between failures
  • MTTR — restoration duration on corrective work
  • PM compliance and the planned-vs-reactive mix
  • Baselines grounded in your own history

What each metric needs from the CMMS

MTBF needs failure events tied to specific assets, plus a shared assumption about operable time. MTTR needs start and stop timestamps — or a downtime field — on corrective work orders. PM compliance needs scheduled PM due dates compared against completion inside the allowed window.

Treat this as a checklist for field discipline, not a formula guarantee. Define each field once, train every shift on the same definition, and review exceptions monthly.

Planned vs reactive as the operational twin

PM compliance and the share of breakdown work orders together show whether the plant is firefighting or working a plan. A rising breakdown share usually precedes worsening MTBF and MTTR.

The point is reading the mix, not rebuilding the PM schedule.

KPIs vs predictive maintenance

Predictive maintenance discusses condition signals and sensor-driven insight after preventive foundations are solid. This guide focuses on baseline reliability metrics from work-order history alone.

Predictive maintenance is not a substitute for clean work-order data. Our predictive maintenance guide for India manufacturing covers that path.

Where spare parts affect MTTR

For linking inventory to work orders (criticality, min-max and reservations), see our CMMS spare parts and MRO guide.

Parts wait-time can inflate MTTR, so when restoration duration looks poor, check whether technicians were waiting on spares before blaming repair skill.

How Upvantix fits

Upvantix CMMS covers manufacturing work orders, assets and reporting for plant teams — see the CMMS product page for the workflow. Dispatch and customer-site service belong to Field Service Management (FSM), a separate Upvantix product.

The value here is KPI visibility for India plants — clearer MTBF, MTTR and PM-compliance reporting from the work orders you already log. It is not a guaranteed MTBF or MTTR service-level commitment.

Common questions about CMMS maintenance KPIs

Which KPIs should we start with?

MTBF, MTTR and PM compliance, plus the planned-vs-reactive mix.

How do timestamps feed MTBF and MTTR?

Failure and completion timestamps on asset-linked work orders provide the intervals both metrics are computed from.

Is PM compliance the same as MTBF?

No — PM compliance measures schedule discipline; MTBF measures reliability between failures.

Is this about Field Service Management (FSM)?

No — this guide covers plant CMMS; FSM is a separate Upvantix product. Upvantix doesn’t quote fixed downtime or ROI figures because results depend on your assets, data quality and adoption.
