Warranty service in FSM: checking entitlement before the technician visits
Warranty mistakes start at the service desk. This guide shows how to decide warranty entitlement before dispatch, what technicians should record on site, how warranty, extended warranty and AMC fit together, and what to look for in FSM software for warranty service.
By Upvantix team
Warranty service goes wrong when the decision is left to the technician at the door. The better point to decide warranty entitlement in field service is at the service request, before dispatch: identify the product by serial number, confirm the purchase or installation date and the warranty terms, flag any exclusions the technician must confirm on site, and tell the customer up front whether the visit is free or chargeable.
Getting it wrong is costly. In October 2026, according to the Times of India, a district consumer commission in Surat, India, held that charging a Rs 400 technician visit fee on a digital lock still under warranty was an unfair trade practice, and ordered a refund with interest plus compensation and costs.
FSM software should carry the installed-product record (serial number, purchase or installation date, warranty end and prior repairs), show entitlement on the service request, record parts replaced and evidence on the job, and hand the product to an annual maintenance contract (AMC) when the warranty ends.
Why warranty mistakes start at the service desk
Many calls arrive without a serial number or an invoice. The agent guesses whether the product is covered. The technician collects a visit fee by default, and a dispute follows.
The Surat case shows how that can end. As reported by the Times of India on 6 October 2026, the Surat District Consumer Disputes Redressal Commission (Additional) found that a lock manufacturer charging Rs 400 for an emergency technician visit to a digital lock under warranty "amounted to an unfair trade practice". The manufacturer argued that the lock worked at purchase, there was no manufacturing defect, and service was provided within warranty. The commission partly allowed the complaint and ordered a refund of Rs 400 with 7% annual interest, Rs 1,000 for mental harassment and inconvenience, and Rs 500 in litigation costs.
What "entitlement" means for a warranty call
Entitlement answers one question: is this product, for this fault, covered free of charge right now? The inputs are:
- The product and its serial number.
- The purchase or installation date, and who installed it.
- The warranty term and what it covers: parts, labour, the visit itself, or some of these.
- Exclusions as written in the warranty, such as misuse, physical damage or unauthorised repair.
- Any extended warranty or AMC that follows the warranty.
The warranty document decides, not the agent and not the technician. The service team's job is to apply it consistently and record why.
The pre-dispatch entitlement check, step by step
- Capture the serial number and model. Ask for a photo of the label if the customer cannot read it out.
- Find the installed-product record, or create one.
- Confirm proof of purchase or the installation date.
- Set the warranty status: in warranty, expired, under extended warranty or under AMC.
- Flag possible exclusions for on-site confirmation, without pre-judging the cause.
- Tell the customer the outcome, and any charge, before the visit.
- Dispatch with the entitlement shown on the work order.
Step 6 helps prevent many disputes: a customer told in advance can agree or decline. Our guide to technician scheduling and dispatch covers how the job then reaches the right technician.
On site: confirming coverage and recording evidence
The technician confirms the fault and, where relevant, any exclusion, with photos and notes. If the job turns out to be chargeable, for example because the warranty excludes the cause found, the customer approves the charge before work starts. The job closes with the customer's sign-off.
Record on every warranty job:
- The fault reported and the fault found.
- The cause, in plain words.
- Parts replaced, with old and new serial numbers.
- Labour performed.
- Photos and other evidence.
- The warranty decision and the reason for it.
Warranty, extended warranty and AMC: who pays when
Typical arrangements; the actual warranty or contract document decides.
| Coverage | Who usually provides it | What the service desk checks |
|---|---|---|
| Manufacturer (OEM) warranty | The manufacturer, for a set period from purchase or installation | Serial number, start date, what is covered and the exclusions, per the warranty document |
| Extended warranty | Whoever issued it, after the standard warranty | Its dates and terms, per the extended warranty document |
| Annual maintenance contract (AMC) | The brand or a service provider, as a paid contract | Contract dates, covered visits and chargeable work |
| None | Not applicable | Chargeable rates, quoted and approved before the visit |
Our AMC contract management guide covers paid contracts and covered-versus-chargeable logic in detail, including the Indian procurement guidance that a maintenance contract normally starts after the warranty period. The handover matters: when a warranty ends, the installed-product record should show it, so the next call is handled as AMC or chargeable work, not guessed.
Service partners and OEM claims
For authorised service partners, the work order is the evidence for claiming back from the brand: serial numbers, photos, parts, dates and the warranty decision. Keep those fields complete on every warranty job.

The consumer-law backdrop
This section is general information, not legal advice.
In India, the Consumer Protection Act, 2019 includes within "unfair trade practice", at section 2(47), a representation to the public purporting to be a warranty or guarantee, or "a promise to replace, maintain or repair an article or any part thereof", if it "is materially misleading or if there is no reasonable prospect that such warranty, guarantee or promise will be carried out". The Times of India report on the Surat case does not say which provision the commission relied on.
In the United States, the Magnuson-Moss Warranty Act sets federal minimum standards for written warranties designated "full". Under 15 U.S.C. 2304, a full warranty requires the warrantor to remedy the product "within a reasonable time and without charge", and "without charge" means the warrantor "may not assess the consumer for any costs the warrantor or his representatives incur in connection with the required remedy". These duties do not cover damage from unreasonable use, including failure to provide reasonable and necessary maintenance. Limited warranties can differ.
The shared principle: do not charge for what the warranty covers.

How Upvantix FSM fits
Upvantix Field Service Management is designed to connect the customer request, dispatch decision, technician workflow and service outcome. It covers the installed base (customers and sites, installed equipment, asset history and service context), service operations (service requests, service work orders, priorities, commitments and status), scheduling and dispatch (a dispatch board, technician assignment and workload visibility) and field execution (mobile work, digital service forms, photos and notes, procedures and documents, and service reports and signatures).
Its workflow includes an assessment step to "review urgency, entitlement, history and required skills" before dispatch, and returns the outcome to the installed-asset history. AI assistance in Upvantix FSM is designed to summarize installed-asset history, retrieve technical knowledge and help prepare service documentation while keeping decisions reviewable. Common questions about warranty service and entitlement
What is a warranty entitlement check?
It is the check a service team makes before dispatch to decide whether a product, for the reported fault, is covered free of charge. It uses the serial number, the purchase or installation date and the warranty terms, flags exclusions to confirm on site, and tells the customer up front whether the visit is free or chargeable.
Can a company charge a visit fee for a product under warranty?
It depends on the warranty terms and local law. In one Indian case reported by the Times of India in October 2026, a Surat consumer commission held a Rs 400 visit fee on an in-warranty lock to be an unfair trade practice. In the US, a "full" warranty must remedy defects without charge. This is not legal advice.
What information is needed to check warranty before a service visit?
You need the product model and serial number, proof of purchase or the installation date, the warranty terms including coverage and exclusions, and the product's prior repair history. With those, the service desk can set the warranty status, flag exclusions for the technician to confirm, and tell the customer about any charge before dispatch.
What is the difference between a warranty and an AMC?
A warranty comes from the manufacturer or seller and covers defects for a set period from purchase or installation, on the terms written in the warranty. An annual maintenance contract is a paid service contract, usually taken after the warranty ends. Warranty vs AMC decides who pays; our AMC contract management guide covers paid contracts.
What should a technician record on a warranty job?
Record the fault reported and found, the cause, parts replaced with old and new serial numbers, labour performed, photos and other evidence, the warranty decision and its reason, and the customer's sign-off. If the job turns chargeable on site, record the customer's approval before work starts. This record also supports any claim back to the brand.
How does FSM software help with warranty service?
FSM software keeps one installed-product record per product, with serial number and dates, so entitlement can be shown on the service request before dispatch. Technicians capture evidence, parts and sign-off on a mobile job, and the outcome returns to the product's history. That supports consistent decisions, service reports and the handover to an AMC.
Is warranty service an FSM or CMMS job?
Warranty service is an FSM job. Technicians visit customer sites to repair products the brand or its partner sold or installed, and the work runs on service requests, dispatch, mobile work orders and service evidence. CMMS is for maintaining an organisation's own plant and assets. Our FSM vs CMMS guide explains the difference.
